How to Automate Your Employee Recheck Process with Zinc

Zinc can run your employee rechecks for you — on a schedule you set, with no spreadsheets or calendar reminders required. This article covers how to set it up. ## Set a Recheck Frequency on a Package If you want Zinc to remind you to recheck someone automatically, set a recheck frequency on the package you use for their pre-employment check. 1. Open the **Package Editor** — either when creating a new package or by editing an existing one. 2. Find the recheck settings and select how often you want the candidate rechecked (for example, annually or every two years). 3. Yes. Setting a recheck frequency on a package only controls the timing. When a recheck falls due, you can choose any package you like to run it. ### Does this apply to DBS Update Service checks? No — the DBS Update Service works differently. Update Service rechecks run automatically on a fixed quarterly cycle and can't be customised, so there's no frequency to set. See [Can I Edit the Update Service Recheck Frequencies?](https://help.zincwork.com/article/27159bcb-can-i-edit-the-update-service-recheck-frequencies) if you want the detail on why it's fixed. ## Track Upcoming Rechecks Anyone due a recheck appears automatically on your **Rechecks page** — by default, you'll see everyone due in the next two months. It moves to the **Request** page, where you can track its progress exactly as you would a pre-employment check. Once it's complete, the person is automatically re-added to your recheck schedule for next time — you never need to add them manually again. ### How do I remove someone from the schedule? See [How To Remove Candidates from the Update Service Recheck Schedule](https://help.zincwork.com/article/84452163-how-to-remove-candidates-from-the-update-service-recheck-schedule) for the steps. ## Add Current Employees to Your Recheck Schedule If you have employees who were never checked through Zinc — so they're not already on your recheck schedule — you can add them in bulk with a CSV upload rather than entering them one by one. 1. Click on **Bulk upload** on the Rechecks page on Zinc in the top right corner of the page. 2. Download the CSV template and fill it in with your employees' details. On your document, we require the candidate's first name, last name, and their email address with their mobile phone number and scheduled date being optional. 3. Upload the completed CSV back to Zinc. 4. Request their background checks when the time comes or as soon as you've uploaded the CSV. Everyone on the list is added to the queue as soon as you submit, and you'll be able to track them on the **Rechecks page** the same way as anyone else — with progress visible on the **Request** page once their recheck is sent. ### What if the employees are on the DBS Update Service? This is a separate, already-documented flow with its own CSV fields (full name, email, date of birth, and DBS certificate number) and its own **Bulk Upload** button on the Update Service tab of the Rechecks page.
