How to Integrate Zinc with HiBob HRIS: Step-by-Step Setup Guide

## How to integrate Zinc with HiBob HRIS <iframe src="https://www.youtube.com/embed/ma2iLudEVk0" width="100%" height="400" frameborder="0" allow="accelerometer; autoplay; clipboard-write; encrypted-media; gyroscope; picture-in-picture" allowfullscreen ></iframe> ### Step 1: Manage service users 1. In HiBob, navigate to **System Settings > Integrations** (under **Flows**), then scroll down to the Automation Secion and click **"Manage"** under the **Service Users** card (Robot icon). ![zincwork_hc_images/hibob-hris-1.gif](https://storage.googleapis.com/public-fini-assets/zincwork_hc_images/hibob-hris-1.gif) ### Step 2: Create a Service User 1. On the **Service Users** configuration page, click **"+ Create Service User"**. 2. Enter a **Display Name**, then click **Create**. 3. From the HiBob homepage, go to **Systems Settings > Data Management > People's data fields**. ### Step 4: Create a Check Category 1. Click the **"+ add category"** icon in the top-right corner to **Add New Category**. 2. Name your new category **"Zinc Background Checks"**, optionally add a description, then click **"Add"**. 3. Your new category will be added at the bottom of the Employee Field Categories list. ![zincwork_hc_images/hibob-hris-3.gif](https://storage.googleapis.com/public-fini-assets/zincwork_hc_images/hibob-hris-3.gif) ### Step 5: Create Category Fields In this next step you must add all relevant Zinc fields: 1. Expand the **Zinc Background Checks** category. 2. Click **"+ New Field"** in the top-right corner next to **Category Fields**. 3. Enter the **Field Name** and **Type** (under the **Settings** ribbon). 4. Click **"Add"** to confirm. Create a new Peoples's folder (**Docs>People's folders>Add new**) called **"Zinc Background Checks"** **Please note:** The integration will delete a previously uploaded document **only if a new report is being uploaded for the same request**. This means multiple background check reports can be stored for the same person over time (e.g. for rechecks), as each new request creates and manages its own document. _It is important you add the fields with the exact field names and types listed below otherwise the integration will not work. The type of the field is indicated in parenthesis next to the field name i.e. (text)._ - **Zinc Status (text)** - **Zinc Date of check (date)** - **Zinc Type of check (text)** - **Zinc Report link (text)** - **Zinc Report (document)** Only add the following fields if you are conducting RTW checks. - **Zinc RTW Document Expiry (text)** - **Zinc Document Type (text)** - **Zinc Nationality or Share code (text)** - **Zinc RTW Status (text)** ![zincwork_hc_images/hibob-hris-4.svg+xml](https://storage.googleapis.com/public-fini-assets/zincwork_hc_images/hibob-hris-4.svg) ### Step 6: Create a Zinc Permission Group 1. In HiBob, go to **Settings > Account > Permission Groups** (under **Company**, if you are an admin). 2. Click **"+ Create Permission Group" > Service User**. 3. Enter a **name** for the permission group. 4. In **Members**, select the **Service User** you created in **Step 2**. 5. Click the **Edit** icon and remove any existing conditions (🗑️ icon). 6. Under **Add Specific Employees > Service Users**, add the **Service User** you created in **Step 2**. 7. From the HiBob home page select **Settings>Permission Groups** (Under **Company** if you are an admin). 2. Find and select the group created in **Step 6**. 3. Click the **"People’s Data"** tab, **"Select Access Data For"**. 4. Click **"Edit Permissions"** then click **"Select People by Condition"** > +**Edit** and add these two conditions: - **Lifecycle status → Equals → Employed** - **Lifecycle status → Equals → Hired** 5. Click **Apply**. 6. Under the Access rights within the People’s Data tab navigate and change the following: - **People > Zinc Background Checks** → Tick **all** - **People > Personal Contact Details** → Tick **"View Section"** and **"View Section Histories"** - **Docs > Zinc Background Checks** → Tick **all** - **People > About > Basic Info** → Tick **"View Selected Employees' Basic Info Sections"** 7. In **Zinc**, go to **Settings** (bottom-left corner). 2. Click the **Company** tab and scroll down to **Integrations**. 3. Under **HRIS Integrations**, click **"Setup Integration"**. 4. Paste the **Service User ID & Token** from HiBob into Zinc. 5.
