Troubleshooting Workday Integration Issues with Zinc
## Reports Appearing in Workday Before a Check Has Been Manually Reviewed
This is expected behaviour, not a bug. Workday syncs as soon as a check reaches **"Ready for Review"** in Zinc — this is the status that triggers the report to send, regardless of whether someone has manually reviewed it yet.
## A New or Renamed Package Isn't Appearing in the Dropdown
This is most commonly caused by one of the following:
- The package name — including a previously deleted one — exceeds Workday's **50-character limit**. A single long name can break syncing for the whole account, not just that package.
- The integration needs a re-sync. Try re-syncing by re-entering your integration credentials in Zinc.
## A Background Check Isn't Being Triggered in Workday ATS
When triggering checks in Workday ATS, the candidate needs to be moved into the background check stage **and** have the check package selected on the same day. If these two steps happen on separate days, Zinc will not pick up the request.
## A Deleted Package Keeps Being Triggered Instead of Its Replacement
**Deleted package still triggering**: Workday can cache a deleted package. Give the new package a **distinctly different name** from the one it's replacing, then verify the fix has taken effect by comparing the request against the package definition in Zinc.
**Missing reference-letter attachments**: If reference-letter attachments are missing from a request, contact account management (accountmanagement@zincwork.com) for further help.
## Inconsistent Syncing, Confusing Statuses, or Duplicate Reports
A few common causes:
- **Duplicate reports**: usually caused by triggering the same check from both Zinc and Workday. Pick one method per candidate rather than both.
- **Status confusion**: Zinc's "Ready for Review" and "Reviewed" statuses both map to **"Did Not Pass"** in Workday. This is expected mapping behaviour, not an error.
- **Checks not syncing back**: only checks initiated in Workday will sync back to Workday — checks started directly in Zinc won't automatically appear there.
- It's also worth checking that your Integration System User (ISU) has all the correct functional areas enabled, per the permissions table in the [Workday setup guide](https://help.zincwork.com/hc/hm54ky7yrc/article/3412c9f8-how-to-integrate-zinc-with-workday-step-by-step-guide).
## All Checks Show as Sent by the Same Person
This is expected, standard behaviour. Workday integration requests always attribute to the account's super admin, and there's currently no workaround at the integration level.
If you need requests attributed to individual recruiters, send checks directly via the Zinc platform instead — other recruiters can still subscribe to specific packages to get notified when a check completes.
## Triggering Checks from the HRIS Side
Checks can be triggered from the Workday **HRIS** side independently of Recruiting/ATS — HRIS screening is self-contained and syncs entirely within HRIS. The Workday integration covers both the ATS and HRIS sides.
To launch a check for an existing employee:
1. Go to the employee's record.
2. Select **Actions > Start Background Check**.
3. Choose the relevant package.
4. Click **Submit**.
Status updates will flow through to Workday as the check progresses.
## A Completed Report Appears to Be Missing From an Employee Profile
If a check was triggered while a candidate was still in Workday ATS, and the candidate profile was converted into an employee profile before the check finished running, the completed PDF will return to the original **candidate** profile — not the new employee profile. If a report appears to be missing from an employee profile, check the candidate profile first, as it's likely there.
## Tracking Right to Work / Visa Expiry Dates
Zinc can send the Right to Work expiry date through to the candidate or employee profile in Workday. This is available as an optional step during setup — see the custom object fields in the [Workday setup guide](https://help.zincwork.com/hc/hm54ky7yrc/article/3412c9f8-how-to-integrate-zinc-with-workday-step-by-step-guide) for the fields needed.
## Large-Scale Automated Rechecks
Recurring automated rechecks at scale (for example, around 300 candidates a month with status syncing back to Workday) aren't currently supported via the Workday integration. If this is something your business needs, speak to your Account Manager about your specific requirements.
